Meeting and Conference AV Rentals

Operator-supported AV rental packages for meetings, town halls, conferences, and product launches across New Jersey and Pennsylvania. Every package includes a senior technician who tests the room, sets levels, and stays on site for the meeting. Drop-and-go rentals are not what we do, because that is where the unrecoverable failures happen.

Tested AV switching package staged for a corporate meeting

What a meeting AV rental typically covers

Wireless mics, a PA tuned for the room, video switching, projection or LED displays, lecture capture or hybrid videoconference handoff, and the labor to run all of it. Lighting, staging, and broadcast distribution are available as add-ons, scoped by the same senior tech who will be in the room on event day.

The on-site operator confirms levels, monitors the mix, and watches the hybrid back channel so the people on the call can actually hear and see the room.

Hybrid meetings handled as a first-class audience

We treat the remote audience as a first-class one. Clean audio out, a switched program feed in, and a tech who watches the Zoom, Teams, or Webex chat so a late join does not get lost. Captioning, dial-in audio, and post-event recording are part of the package.

Tight venues, fast turnarounds, real paperwork

We are fluent in hotel ballrooms, mansions, museums, university lecture halls, and corporate atriums across the NJ and PA corridor. W-9 and COI go to your venue the same day you ask, and the first conversation is with an engineer, not an account manager.

Quick answers

Meeting AV rentals: common questions

Do your AV rentals include an operator?

Yes. Every package includes a senior technician who tests the room, sets levels, and stays on site for the meeting. Drop-and-go rentals are not what we do, because that is where the unrecoverable failures happen.

What does a meeting AV rental typically include?

Wireless mics, PA tuned for the room, switching, projection or LED displays, lecture capture or hybrid videoconference handoff, and on-site labor. Lighting, staging, and broadcast distribution are available as add-ons.

Can you support hybrid meetings on Zoom, Teams, or Webex?

Yes. We treat the remote audience as a first-class one. Clean audio out, a switched program feed in, and a tech who watches the chat and confirms that the people on the call can actually hear and see the room.

How early should I book?

Two to four weeks of lead time is comfortable for most rooms. Tight turnarounds are workable when the venue is one we have produced in before. The first conversation is with an engineer who can tell you on the call.
