Quick answers

Corporate event AV questions

What AV support can you provide for a corporate event?

PremiumAVC plans and operates event audio, video and presentation systems for all-hands meetings, conferences, leadership events and corporate receptions in New Jersey and Pennsylvania. The scope can combine microphones, room sound, screens, presentation playback and onsite production support. Your proposal should identify the equipment, crew and operating schedule for your event.

What should we send when requesting a proposal?

Send the date, venue, estimated audience, room layout, program schedule and setup window. Include speaker and panel counts, the number of simultaneous microphones, presentation and video sources, and whether remote participation or recording is needed. A draft run of show is useful even when the agenda is still changing.

Can you support panels and speaker presentations?

Yes. Share how many people will speak at once, whether speakers move around the room, and how audience questions will be handled. Confirm wireless microphone needs, presentation control, confidence monitors, playback and rehearsal time in the agreed scope; an option discussed during planning is not automatically part of the booking.

How do you work with a venue's existing AV team?

Share the venue's equipment list, in-house provider requirements, access rules and technical contact. We can review which systems are suitable and which event services need separate support. Responsibility for house systems, power, rigging, internet and outside-provider fees should be agreed before the event.

Can remote guests join, and can the event be recorded?

Hybrid participation and event recording can be discussed during scoping. Confirm the platform, remote speaker needs, venue internet, camera coverage, recording permissions and requested deliverables. These requirements affect staffing and testing and should not be assumed to come with a basic room AV package.

What determines the production budget?

Audience size, room count, program complexity, equipment, staffing hours, rehearsals, venue access and travel all affect the quote. Identify which elements are essential and which are optional so the production plan can be reviewed against your budget without treating unapproved options as booked services.
